Chat Confidentiality Guidelines
Confidentiality - FERPA protects our students records and identifiable information. It also makes all communication regarding the student a records request-able document with a subpoena.
Best practices for Chat Use:
-
Create codes
-
Use the appropriate team for the communication - communication should only include those with an educational “need to know” for the student
-
Do not use personally identifiable information, instead use locations or what support is needed
- Ex. Instead of: “Stephanie had an accident, Lauren can you come help?”
- Say: “Second adult for restroom in third grade”
- Instead of: “Stephanie’s behavior is ramping up and I need a staff switch”
- Say: “Adult support from Blue team in room 12”
- Ex. Instead of: “Stephanie had an accident, Lauren can you come help?”
- Anything in writing becomes a record
- Not used to document behavior or goals - continue to use data recording sheets
- Chat can be used to quietly communicate a need for help, however, this may not be the most effective communication in an emergency - consider a direct call
